This is a great opportunity to become a part of our Security & Resilience team at the UK Hydrographic Office. We provide assurance to the Board and its Executive Leadership Team on the effectiveness of security and resilience measures, including physical and personnel security and business continuity. In addition, we also provide assurance to the Audit Risk and Assurance Committee (ARAC) on the effectiveness of our security and resilience processes. 

You would be an integral part of that assurance with a wide-ranging varied remit including conducting regular audits; the day to day management of visitors to site; providing pre and post overseas travel security briefings and supporting the wider team as required (certain aspects of which, can only be undertaken following completion of the relevant MOD residential training).

This is a varied role requiring strong admin and communication skills and will include duties such as;

  • Processing visitor requests via the visitor booking portal, liaising with hosts, conduct checks of visitor security clearances with vetting authorities where necessary, approving visits (once verified) and updating systems
  • Managing overseas travel requests; including reviewing requests for business and private travel, completing traveller security clearance information, conducting pre and post travel briefings and maintaining an overseas travel database.
  • Undertaking regular audits for a variety of purposes, reporting findings, identifying any anomalies, synchronising cancelled/superseded passes and updating live records
  • Monitoring and managing the Security & Resilience group email inbox, including triaging emails for action by self and others in the team, logging and prioritising appropriate multiple requests
  • Responding to requests to forward clearance details for UKHO personnel visiting other units
  • Maintain records in a timely manner and seek additional information or justification as necessary.
  • Providing support to Security & Resilience team colleagues during periods of peak activity and absence with a range of ad hoc tasks and projects (which may include assisting with processing new starters and leavers, clearance transfers, new pass applications and maintaining team records).
  • Liaise with internal and external stakeholders, providing general security related advice and the focal point for visitor bookings, overseas travel requests and audits of security records.
  • Initiating process for supervisors and holders of Developed Vetting (DV) security clearances to complete mandatory annual Security Appraisal Forms (SAF), monitoring progress and hastening/escalating responses as necessary.

We are looking for an individual with: 

  • Strong organisational skills with an ability to plan, prioritise and schedule own work in line with appropriate policies and procedures and respond well to working in a time critical environment.
  • Excellent customer service skills. An important aspect of the role involves regular communication with internal and external stakeholders.
  • The ability to cultivate relationships, communicate effectively and be at ease across all levels of the organisation and beyond is essential.
  • Elements of the work involve exposure to highly sensitive information, which may include national security, commercial and personal information. The need for discretion is therefore imperative.
  • Proficient in the use of typical everyday desktop software (e.g. MS Word, Excel, Teams, Sharepoint etc)
